Connect Gmail

The Gmail connector reads your mail with the gmail.readonly scope only. It does not send, change, or delete mail. It does not request access to Drive. When you connect Gmail, you agree to mail indexing. If you do not want Orcha to index your mail, do not connect this provider.

You must have the workspace admin role in Orcha. You must also have the Google account that has the mailbox that you want to index.

Add the connector

1. Open Connectors and choose Gmail.
2. Approve the Google consent screen. The only scope in the request is read-only Gmail.
3. Orcha makes a catalog of your labels. Then it reads a limited window of recent messages and records subjects, senders, dates, and labels. Orcha does not keep message bodies at this step.

Google can show a warning that the app is not verified. This warning shows because the Orcha verification review is not complete. You can continue. Or you can use the older Google Workspace connector with your own OAuth client.

Choose what gets indexed

You set retention for each label, and not for the full mailbox. Orcha files each message under its first user label. Thus a rule on that label matches the message one time only. If you set a label to full, Orcha indexes the messages under that label.

Orcha does not accept a retention rule for the full mailbox. Users almost never want to index every message that they received. Thus the mailbox stays at catalog, and you add only the labels that you want.

Older mail outside the initial window stays in Gmail. Orcha does not copy it.

Use it

Search returns indexed messages with a citation to the exact message. Each result has a link into Gmail. You can search from the Orcha app, the REST API, and MCP. After the first read, Orcha follows the Gmail history feed. Thus Orcha gets new and deleted messages and does not list the full mailbox again.

Remove it

1. Open Connectors.
2. Choose Gmail.
3. Disconnect the connector.

Orcha revokes the token with Google and deletes the indexed messages. Your mailbox does not change.
